Codellic Hub

Privacy statement

Last updated: 13 October 2026

This privacy statement explains which personal data Codellic Hub processes, why, and what you can do about it. Privacy by design is a core principle of the Hub.

Who is responsible

Codellic Hub is built and run by Codellic Softworks V.O.F., a company in the Netherlands registered with the Dutch Chamber of Commerce under number 73608688. Codellic Softworks is the controller for the personal data described here.

You can send questions and requests about your data to contact@codellic.com or call +31 (0)73 623 34 04.

Who the Hub is for

The Hub is there to empower the people around Codellic: employees, friends and family. It is only available to people with an account. Accounts are created by an administrator at Codellic. There is no public sign-up.

The data we process

Account data: your name, username, email address, language and the other profile details you fill in.

Content you add: schedule items and calendar events, notes, lists, chat messages, timeline posts with photos and videos, uploaded files and what you ask Cai.

Location: only when you turn on location sharing or check in. You choose who can see it and you can stop at any time.

Technical data: your IP address, the type of browser or device you use and, if you allow notifications, what is needed to deliver them to your device.

Connected calendars: when you connect a Google or Microsoft account, the data described in the sections below.

Why we process it

We use this data only to run the Hub: to sign you in, to show and sync your content, to share it with the people you choose, to send the notifications you asked for and to keep the service secure. We process it because it is needed to provide the Hub to you. For the parts you switch on yourself, such as location sharing, notifications and calendar sync, we rely on your consent, which you withdraw by switching the feature off.

We do not sell personal data and we do not use it for advertising.

Google user data

Connecting a Google account is optional. If you connect one under Calendar sync, the Hub asks Google for permission to see the email address of your Google account and to view and edit the events on your calendars.

What we access: the email address of the connected account and the events in your Google Calendar, including their title, description, location, time, organizer and reminder.

How we use it: the email address is shown so you can recognize the connection. The events are shown in your own schedule and calendar in the Hub. We also use them to send you reminders and to answer you when you ask the assistant in the Hub about your schedule. Synced events are visible only to you, not to other Hub users. If you turn on two-way sync, the Hub also creates, updates and deletes events in your Google Calendar to mirror what you do in the Hub. Without two-way sync the Hub only reads.

How we store it: a copy of these events and the authorization you gave are stored securely by Codellic. All traffic between your device, the Hub and Google is encrypted.

Who we share it with: nobody. We do not sell Google user data, we do not transfer it to third parties and we do not use it for advertising. Nobody at Codellic reads it, unless you ask us for help with a problem, it is needed for security or the law requires it. We do not use Google user data to develop, improve or train AI or machine learning models.

Keeping and deleting: synced data is kept for as long as the connection exists. When you disconnect the account under Calendar sync, the Hub deletes the events synced from that account and its access to the account straight away. You can also remove the Hub's access in your Google Account at myaccount.google.com/permissions, or ask us to delete your data at contact@codellic.com.

Codellic Hub's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Microsoft account data

The same applies when you connect a Microsoft (Outlook) account. The Hub reads the name and email address of the account and your calendar events, uses them only to show your calendar in the Hub and, with two-way sync, to mirror your changes, and deletes them when you disconnect.

Service providers

For push notifications we depend on an outside party: they are delivered through the notification service of your device. We encrypt the content of every notification before it leaves the Hub, so that even that service cannot read it. This is the main outside service the Hub uses.

How long we keep it

Chat messages are deleted automatically after three months. Other content stays until you delete it or until your account is removed. When your account is removed, everything that belongs to it is deleted. Nothing is kept afterwards.

Security

We take appropriate technical and organizational measures to protect your data, including military-grade encryption. All connections to the Hub are encrypted.

Cookies and local storage

The Hub only uses functional cookies, which keep you signed in and remember your preferences. It also keeps some data in your browser's storage on your own device so the Hub works properly. There are no advertising or analytics cookies.

Your rights

You can ask us to show, correct or delete your personal data, to limit or object to its use, or to hand it to you in a usable format. Email contact@codellic.com and we will respond within one month.

Changes

We may update this statement when the Hub changes. The date at the top shows the latest version. If a change affects how we use Google user data, we will tell you and ask for your consent again where that is required.
